How to Write a Quotable Steel RFQ Line
A grade name alone is not a quotable specification. Start with the item that will arrive, then define its material identity, form-specific dimensions, acceptance and delivery basis.
Name the Item That Will Arrive
Write the delivered product form before the grade or size. A master coil, a slit narrow coil, a finished flat sheet, a plate, a pipe or tube, and a bar create different handling and inspection questions. If the request begins with a drawing of a finished part, have the responsible engineer define the purchasable blank and any machining or forming allowance. Keep a separate order line for each form and material identity. That separation makes later quotations comparable and prevents a coil handling field from appearing on a cut piece.
Coil or slit coil
Record the wound form and the downstream line or processing step. Coil ID, winding and per-coil mass may constrain the order.
Sheet or plate
State the finished piece size and the route that produces it. Flatness, surface protection and piece packing belong here.
Pipe, tube or bar
Name the section and connection or machining use. Outside dimensions, wall or section size, ends and lengths replace coil fields.
Tie the Grade to Its Product Standard
Add the full grade and the product standard, including the applicable part and edition. Then state the required delivery condition and any finish or coating that changes the order. A grade label does not tell a supplier which steel form, test basis or delivery condition the drawing accepts. A proposed alternative grade or edition must go back to the design authority for written approval; it is not an automatic equivalent. Check the scope of the named standard against the actual product form before copying it into a purchase order.
- Product standardGive the standard number, part and edition that covers the ordered form.
- Complete gradeInclude suffixes or condition designations required by the drawing.
- Condition and surfaceState the delivery condition, finish and coating only where they apply to this form.
Use Dimensions That Belong to the Form
Keep the dimension field tied to the object being bought. For a coil, give thickness, width and the winding and handling limits that matter to the line. For a finished flat piece, give thickness, width, length, flatness or cutting allowance as applicable. For a pipe or tube, give the applicable outside dimension, wall, length and end condition. For a bar, give section shape and size, length and machining allowance where needed. Name the tolerance basis rather than treating a nominal number as a complete acceptance rule.
| Delivered form | Start with | Add when the process needs it |
|---|---|---|
| Coil or slit coil | Thickness, width, coil presentation | Coil ID, winding, edge and mass limit |
| Sheet or plate | Finished thickness, width, length | Flatness, cut allowance and protected face |
| Pipe or tube | Outside dimension, wall, length | End and connection condition |
| Bar | Section shape, section size, length | Condition and machining allowance |
Coil ID and coil mass do not belong on a single sheet, plate, pipe or bar line. The specialist guides explain the tolerance and inspection fields in more detail.

Write the Acceptance and Traceability Basis
Ask which inspection document must accompany the order and which heat, coil, plate, bundle or piece identity must connect it to the delivered material. Put any additional test, sampling method or outside inspection request in the order rather than assuming it is included. Agree what is reviewed before dispatch and what will be checked at receipt. If a delivered value or identifier does not match, segregate the affected material and resolve the discrepancy against the agreed order. Do not accept a changed grade, dimension or document basis without the responsible party's approval.
Name the document
State the document type and which values or identifiers must be reported.
Map the material
Connect the delivered pack or piece marks to the heat, coil or lot on the document.
Agree deviations
Record who may approve a changed specification or acceptance result before release.
Keep Quantity and Delivery on One Basis
State the ordered quantity and its unit, then name the pack unit in which the material will travel and be counted at receipt. Give the destination, the named trade term and the requested date when known. These are enquiry inputs, not a promise of a fixed minimum order or lead time. A quote per tonne of coil is not directly comparable with a price per finished piece until the same delivered form, yield, packing and delivery basis are written down. Ask for exclusions and validity in each offer before choosing the apparent lower price.
- Quantity and unitWrite the quantity beside a unit that matches the delivered form.
- Packing and marksSay how pieces, bundles or coils should be counted and identified.
- Delivery basisGive destination, named trade term and requested timing for order-specific confirmation.
Send One Line and Identify the Open Questions
Use this order when drafting the enquiry: delivered form and use; drawing reference; product standard, part and edition; complete grade and delivery condition; form-specific dimensions and tolerance basis; surface or coating; quantity and unit; required inspection document and identification; packaging; destination and delivery basis. Keep a separate line for each different form or grade. If the drawing does not settle a blank allowance, connection end or acceptance method, state the open question and ask the responsible engineer to decide it. Send the line through the enquiry form for an order-specific quotation check; submission does not confirm any particular size, combination, document or date.
Frequently Asked Questions
No. Add the delivered form, applicable product standard and edition, dimensions, condition, quantity and acceptance basis. A grade alone may refer to different products and tests.
No. Coil winding and per-coil mass constrain a coil order, while a cut piece needs finished dimensions and its own flatness or edge requirements. Use the form-specific guide for the remaining fields.
Record the proposed change and return it to the design authority for written approval. Do not assume two names or editions are interchangeable for the ordered form and duty.
