Steel Order Change Control After PO Acceptance
A revised dimension in one email can leave production, inspection and receiving on different versions. Give every post-acceptance change one affected PO line, impact review and final document trail.
Freeze the Last Accepted Order Line
Start with the accepted PO number and line, supplier acknowledgement, drawing revision, material standard and edition, quoted scope and required documents. Record whether sourcing, allocation, processing, inspection or loading has begun. A proposed change is not yet the new order. Ask the responsible contacts to identify work under the old line and what can still be paused, amended or replaced. Feasibility, extra cost and timing depend on the actual stage and agreement; do not assume an unrestricted change right. Keep the original record so the proposed revision has a clear comparison point.
- Accepted versionWrite the PO, drawing, quote and acknowledgement revisions.
- Current stageAsk what material or work is already committed.
- Affected lineIdentify exactly which units and documents are in scope.
Redline Every Material and Delivery Change
Write the old and proposed values with units, reasons and affected PO lines. Separate material identity, grade, form and standard edition from dimensions, finish, processing, inspection, documentation, packing, quantity, price and delivery date. A different grade or standard may require an engineering decision even when its trade name sounds similar. Identify downstream fabrication and receiving effects before approving the change.
| Field | Accepted value | Proposed value | Impact owner |
|---|---|---|---|
| Material and standard | Record exact grade and edition | Record proposed grade and edition | Engineering or quality |
| Size and condition | Record ordered dimensions and finish | Record new drawing or finish | Engineering and production |
| Commercial and delivery | Record price, quantity and date | Record requested change | Procurement and supplier |
| Evidence | Record tests, documents and packing | Record revised evidence | Quality and logistics |
Obtain the Right Technical and Commercial Decisions
Send the redline to the design or engineering owner for fitness and drawing effects, to quality for test and acceptance changes, and to procurement for price, quantity, delivery and payment effects. Ask the actual supplier route whether the change is feasible with the material and work already committed. A supplier acknowledgement is not engineering approval of a substitution; a technical sign-off is not acceptance of a new price or date. Keep each decision, condition and open question beside the affected line. If a field remains unconfirmed, mark the request pending rather than silently telling production to proceed.
Technical
Approve grade, drawing, condition and inspection changes.
Commercial
Approve price, quantity, date and contractual effects.
Supply feasibility
Obtain an order-specific acknowledgement from the responsible route.
Issue the Revision and Retire the Old Copies
After the required decisions are recorded, issue a PO amendment or revised line and obtain the correct acknowledgement. Give the change a number and date, name its approvers and list every drawing, quote, specification, test request and packing instruction it replaces. Send the approved packet to sourcing, production, quality, logistics and receiving. Mark earlier copies superseded rather than deleting the decision trail. A team that keeps only the latest PDF may later be unable to explain why a shipped unit carries an older label or certificate. The order owner should confirm which version now controls each affected line.
- IssuePublish the approved change and supplier acknowledgement.
- RetireMark old versions as superseded in the shared packet.
- DistributeSend the final version to each execution and receiving owner.
Match Shipment and Receipt to the Final Version
Before dispatch, compare package labels, material IDs, source certificates where required, packing-list lines and agreed shipment date with the final accepted PO revision. Record any unresolved mismatch with its affected unit, issuer and correction owner. At arrival, the receiving team should have that same revision and inspect against its agreed criteria. If material was produced under an earlier version, escalate it explicitly; a late document edit does not change the physical steel. To request a change review, send the accepted PO and acknowledgement, redline, updated drawing or specification, technical and commercial impact, approvals and intended release date.
| Final record | Confirm before dispatch | Confirm at receipt |
|---|---|---|
| PO and drawing | Approved revision reaches supplier and QA | Same revision reaches warehouse |
| Material IDs | Labels and documents map to affected line | Physical units and marks match |
| Exceptions | Owner and resolution are documented | Unresolved units remain identified |
Frequently Asked Questions
Tie the proposed size to the exact PO line and drawing revision, assess technical and commercial effects, then issue an approved amendment and acknowledgement under the actual order.
It records what the supplier accepts. The authorized design or engineering owner should decide whether the changed grade meets the actual application and acceptance criteria.
Mark them superseded for affected lines and distribute the new accepted versions to sourcing, inspection, logistics and receiving while retaining the change trail.
Tell Us What You Need
Send the product form, grade, finish, thickness, width, length and quantity. Inquiries are answered within 2 hours.
Request a controlled steel order change
Provide the accepted PO and acknowledgement, a marked old-to-new line, current drawing or standard edition, the requested date and named approval contacts. ZIVO can check feasibility and terms against the actual order.
