Steel procurement guide

How to Specify a Steel Standard and Edition on a PO

A grade name and a standard family are not enough to control a purchase order. State the exact product part and edition before accepting a steel quotation.

01 · Purchased product

First Identify the Product Being Ordered

Begin with the object that will arrive and its intended duty. A grade appearing on a drawing is not enough to select the product standard for coil, sheet, plate, tube or bar. The standard must cover the actual delivered form and the requested delivery condition. If the specification was copied from an earlier project, compare its scope with the current drawing before asking for a price. This product check comes before debating whether a newly published standard edition should replace the one already approved in the contract.

  • Delivered form

Name the coil, flat piece, tube, bar or other stock that will actually arrive.

  • Intended duty

Give the relevant drawing or project specification, without asking a stock supplier to approve design suitability.

  • Applicable scope

Confirm that the selected product standard covers the form and condition on the order.

02 · Standard identity

Freeze the Standard Part and Edition

Write the standards publisher or system, number, applicable part and agreed edition in the quotation request and purchase order. Match the edition to the approved drawing and contract rather than automatically using the newest online listing. Two parts in the same standards family may cover different steel products or delivery states. If the supplier proposes a different part or edition, identify the proposed change in writing and obtain the design authority's decision before amending the order. The line should remain unambiguous to the person who later checks the shipment documents.

  • Publisher and numberState which standards system and numbered document governs the delivered item.
  • Product partInclude the part that covers the chosen form and route.
  • Agreed editionUse the date or edition accepted by the contract and drawing authority.
03 · Ordering options

Complete the Options That Change the Quote

After the standard identity, list the full grade and suffix, requested delivery condition, dimensions and tolerance basis, relevant surface or coating, and the inspection document required for the order. Some product standards permit additional tests or options, but their exact clauses depend on the product and edition. Check the actual standard and project specification instead of borrowing an option from an unrelated form. Ask the supplier to state any omitted or assumed value in the offer so the quotation can be reviewed before it becomes a purchase order.

  1. Material and condition

Complete the grade, suffix and ordered delivery state.

  2. Size and tolerance

Name the finished form and its governing dimensional acceptance basis.

  3. Tests and documents

Request only the inspection or document option the project actually requires.

04 · Exception approval

Treat Alternatives as Changes, Not Assumptions

A quote that uses another grade, national designation, standard part, edition or test basis is a proposal, not the accepted order. Ask the supplier to show the difference against the requested line. Send it to the engineer or contract authority who can approve the change for the actual duty and form. If accepted, update the quotation and purchase order so the receiving team sees one coherent basis. If not accepted, keep the original specification. Do not infer technical equivalence from similar names, a supplier catalogue cross-reference or an inspection certificate alone.

  • Identify deviationMark the proposed grade, part, edition or option that differs from the order.
  • Obtain authorityRecord written design or contract approval for the specific application.
  • Revise the lineIssue a consistent quote and PO after approval; preserve the change record.
05 · Receiving check

Carry the Same Identity into Receiving

Use a blank field sequence for the PO: delivered form and drawing revision; standards publisher, number, part and edition; complete grade and condition; dimensions and tolerance basis; surface; requested tests or inspection document; quantity, marking and any approved alternative. At receipt, compare the delivered marks and report with that approved line. A report may show material identity and test results, but it cannot repair an ambiguous purchase order or prove the material suits a design that was never specified. The existing inspection-certificate guide covers the detailed document review.
