Steel Sample Approval Before a Bulk Order
A good-looking sample is only useful when the purchase order identifies the same reference, its approved features and the rule for later lots. Make that link explicit before bulk material is released.
Decide What the Sample Is Meant to Prove
Label the sample as an appearance reference, fit trial, fabrication trial or tested material specimen. Record its form, grade, finish, size, production condition and heat or lot if known. Write down the observed feature and the method used to check it. A visual surface swatch does not establish chemistry or mechanical properties; a tested piece supports only the reported test scope. Approval should name the engineering or quality decision owner. One approved piece does not promise that every later heat or batch will look or perform the same.
Appearance
Record the finish, direction and visible features actually reviewed.
Processing
Record the trial method and operating conditions before using a result.
Material test
Keep the specimen, test method and report identity together.
Give the Approved Reference an Identity
Assign a reference ID, approval date and responsible reviewer. Attach the drawing and specification revision, measurements and photographs where they help. For an appearance decision, agree lighting, viewing distance, grain direction, protective film condition and the marks that will or will not be accepted. State who keeps the physical reference if one is retained; do not assume any supplier retains it by default. A photograph without scale, material identity or viewing conditions is hard to compare to delivered steel. Ask for a new decision if the governing drawing or intended use changes.
- IdentificationMark the specimen and tie it to the written approval.
- Viewing ruleRecord the agreed light, orientation, distance and surface condition.
- RetentionName the party responsible for any physical reference.
Turn the Approval Into Purchase-Order Criteria
Put the approved attributes into the actual PO and drawings. For each attribute, distinguish a reference comparison from a specified standard, dimension, tolerance or test result. State the standard edition and product form to which it applies, plus the sampling unit and method agreed for the later lot. If inspection documentation is ordered, name its required type and material-identity link. An ordered inspection document describes its stated material test unit, but a document type alone does not prove that a bulk lot matches an earlier specimen.
| Approved attribute | Governing record | Later check |
|---|---|---|
| Appearance | Sample ID and agreed viewing conditions | Compare the named face under those conditions |
| Dimensions | Drawing and tolerance revision | Measure under the agreed method |
| Material properties | Ordered standard and test requirement | Review the correct lot or test-unit report |
| Identity | PO, sample and package marks | Link to the delivered unit |
Define the Lot and the Change That Triggers Review
Agree the bulk lot or test-unit definition before release, then ask what happens if grade, heat, mill route, surface process, coating, film, drawing revision or fabrication use changes. Some changes may require a new physical sample; others may need a document review or a measured check. The contract and risk decide, not a universal inspection percentage. Name who can approve a change, what evidence must be submitted and when the decision must be made. Keep the accepted revision with the PO rather than relying on a verbal comparison.
Define the unit
Record the heat, lot or process unit under the actual order.
List triggers
Name changes that need an engineering or quality decision.
Approve evidence
Save the accepted record before material release.
Check the Bulk Delivery Against the Agreed Rule
At receipt, connect package and material marks to the accepted PO line, sample reference, drawing revision and any required MTC or inspection report. Compare the named surface or dimensional attributes using the agreed method. Record differences by the affected unit, heat or lot and retain the relevant packaging and photographs. A single piece is not enough to declare an entire shipment conforming or defective without the order sampling rule. For coils, follow the separate receiving sequence. To ask for a proposal, provide the sample ID, purpose, approved features, lot definition, allowed variation, re-approval triggers, document stage and decision contact.
- TraceMatch sample, PO and delivered unit identifiers.
- InspectApply the specified method and sample size.
- EscalateDescribe a difference and the affected lot before disposition.
Frequently Asked Questions
No. Specify what the sample established and how later lots will be identified, inspected and accepted under the actual order.
A photo can help record appearance, but scale, lighting, orientation, material identity and approval conditions still need to be stated. Decide in the order whether a physical reference is required.
An MTC reports the stated material test unit and inspection data. Match its IDs to the delivered units and separately apply the agreed sample, drawing and appearance criteria.
