Incoming material checklist

Steel Coil Receiving Inspection: What to Check and Record

The receiving team needs to answer three separate questions: did the correct shipment arrive, is its visible condition documented, and does the available evidence meet the purchase order's acceptance requirements? Start with safety and package identity before unloading; compare labels and documents before processing; isolate a disputed lot while records are still intact. This is a purchaser-side checklist, not a claim about ZIVO's own inspection protocol or a universal pass/fail standard.

01 · Receipt decision

Separate Identity, Condition and Acceptance

Use the purchase order as the comparison baseline, not a generic checklist downloaded after the truck arrives. Keep three columns on the receiving record: shipment and material identity; package and coil condition; tests and dimensions required by the order. A check can be complete in one column while another still needs evidence.

Assign who checks documents, who approves unloading and who decides whether an exception can be accepted or must be held. Record time, location and lot identifiers as the work proceeds so a later question can be tied to the exact material rather than to the whole delivery.

Receiving stageWhat to record
IdentityMatch the order, package count and lot or heat identifier
Package conditionNote visible damage or moisture before processing
SamplingUse the points and method agreed for the order
MeasurementRecord instrument, units, readings and location
ExceptionIsolate the lot and escalate under the contract
Five-step receiving review: match order and lot, inspect packaging, choose agreed sample points, record measurements and escalate exceptions.
Use the agreed purchase order and site procedure to decide sampling and acceptance; a single reading is not a pass.
02 · Before unloading

Document the Load Before Unloading

Before moving the load, compare the vehicle or container reference and the visible package count with the shipment papers. Photograph the overall load, restraint, package orientation, labels and any obvious damage or wet area. Note what was observed before doors, wraps or supports were removed.

Use the site's approved unloading procedure and rated equipment. A web guide cannot set a safe lifting method for the particular coil or plant. If the package appears unstable or the planned method differs from the approved plan, stop and have the responsible operator review it before moving the material.

03 · Document match

Match Labels, Order and Mill Test Certificate

Check package and coil identifiers against the packing list, purchase order and mill test certificate. Compare the ordered designation, product standard and edition, form, dimensions, finish, quantity and heat or batch identifier. If the certificate covers several heats, make sure each physical coil can be traced to the applicable heat and reported test results.

Do not treat a certificate for a similar grade or a different lot as a match. Record a missing page, unreadable label or conflicting identifier as an exception and request clarification before processing. The separate mill test certificate guide explains how to read the reported fields in more detail.

For galvanized material, match the named hot-dip or electro-galvanized route, substrate and coating designation on the order with the relevant source document. Record whether the evidence applies to parent coil or finished flat pieces, strip or tube; the coil document alone may not prove a later cut or formed dimension.

04 · Condition and size

Record Visible Condition and Ordered Measurements

Inspect the packaging and accessible coil surface for the conditions named in the order. Photograph a suspected scratch, dent, edge issue, staining or moisture with a scale and a label tying it to the coil. Note whether the mark was visible before unpacking or appeared later. Preserve a relevant sample or package section if the contract calls for it.

Measure only what the receiving plan requires, using the method, location, tolerance and sampling rule in the applicable order and standard. This guide supplies no universal dimensional pass/fail number. If a criterion is missing, get the technical owner to define it before making an acceptance judgment.

For zinc-coated surfaces, record the agreed surface treatment, any wet-storage stain, edge condition and package moisture separately from the coating test result. Hold the affected lot identification with photos and compare the observation with the actual agreed acceptance method before assigning a disposition.

05 · Tests and documents

Request Tests Only Against the Agreed Basis

The order may call for a reported test, a particular certificate, a visual sample or a separate receiving measurement. List each requirement and where its evidence should appear. If a report is missing, record the gap rather than substituting a seller's brochure or a test for another heat.

A receiving team can check whether evidence exists and matches the material. Deciding whether a different test or material is acceptable belongs to the engineering or quality authority named in the contract. Keep their approval with the lot record.

06 · Exception record

Isolate and Document an Exception

If identifiers, documents, condition or measured values do not match the order, separate the affected coil or lot from usable stock. Keep its labels and paperwork together. Record the exact requirement, observed result, method, date, photos and who made the observation. Notify the seller and carrier under the contract's specified timing and channel.

Do not process the material to resolve an uncertainty before preserving the evidence. The result may be acceptance, rework, replacement or further investigation, but that decision should be tied to the actual order and the responsible approver, not to a generic online tolerance table.
