Steel Pre-Shipment Document Check
A certificate can describe the right grade yet belong to the wrong heat or package. Before dispatch, match each accepted PO line to its material record, packing-list line and proposed package marks. Keep discrepancies open until an authorized person resolves them.
Start With the Latest Accepted PO Line
Use the accepted PO and any approved amendment as the comparison point. Record the line number, grade, product form, standard and edition, dimensions, finish or coating, quantity, required inspection-document type and drawing revision. Add the named delivery rule and destination only where the order specifies them. Ask which version the sourcing and logistics contacts are using; an old quotation, a draft change or a later email is not automatically the governing line. For a multi-line order, make a separate row for each size or grade so that a correct total weight cannot conceal a wrong individual line. Name the person who can approve a deviation before documents are checked.

- AuthorizeName the order or quality contact who can resolve a difference.
Tie the Material Record to the Proposed Goods
If an inspection document is required, check its stated material grade, product form, specification, edition, size, test unit and heat or lot identifier against the accepted PO line. Then ask how that heat or lot identifier will appear on the packing list and physical package mark. The purchase order must state the inspection-document type required for this transaction. A report with plausible chemistry is not evidence for a package whose identity cannot be linked to it. Document review also does not prove that a physical inspection took place. Use the separate certificate-reading guide to interpret individual test fields; this page stays focused on whether the document belongs to the proposed shipment.
| Compare | Check | Unresolved if |
|---|---|---|
| PO line | Accepted grade, standard, form and size | Document names a different line or revision |
| Material record | Required type and heat or lot | Record is absent or identity cannot be tied to goods |
| Package mark | Same identifier as the proposed material | Label points to another heat or is unreadable |
Reconcile the Packing List With Package Marks
Ask for a packing-list row for each PO line and package group. Compare form, size, piece or bundle count, coil count where applicable, stated weight basis and package identifiers with the material document. For sheets, tubes and bars, a piece or bundle mark may matter more than a coil number; do not force coil fields onto every form. If the contract calls for label photographs, ask that the photo show the actual identifier and enough context to locate the package. A photograph supplied for discussion is not automatically proof that the goods were independently inspected. Keep a discrepancy column so you can see exactly which package or line needs correction before release.
| PO line | Material record | Packing-list row | Proposed package mark | Action |
|---|---|---|---|---|
| Accepted grade, form, size, quantity | Required type and heat/lot | Package count, size and ID | Readable corresponding ID | Match or record discrepancy |

Keep Shipping Papers Separate From Material Proof
A commercial invoice, packing list, transport document and any origin or destination paperwork address commercial or logistics requirements. An MTC or other agreed inspection record addresses the material information stated in that document. One does not replace the other. List the exact papers you need under the contract, destination rules and named Incoterms rule, then identify who must issue each and when it must be ready. The ICC description of Incoterms provides the trade-rule framework; it does not create a universal document bundle for every steel shipment. Ask ZIVO to confirm order-specific availability with the supplying route instead of assuming that every certificate, photo set or third-party report is included.
| Document purpose | What to confirm |
|---|---|
| Material identity | Agreed test record, heat or lot, and link to package marks |
| Commercial terms | Invoice fields and contract details needed for the order |
| Movement and destination | Transport, origin or other papers explicitly required for this shipment |
Resolve Exceptions Before Authorizing Dispatch
Give each difference an affected PO line and package ID, a description, the current evidence, a correction owner and an approval owner. A missing required certificate, heat number that does not match a label, quantity disagreement or superseded PO revision should remain open for a corrected record or an explicitly approved deviation. If you need a physical witness or third-party inspection, agree its scope and timing for the actual order before dispatch; desk review cannot replace it. Record who may release the affected line, and tell the receiving team which final version they should use. This is a decision workflow, not a claim that ZIVO operates an automatic dispatch hold for every order.
| Exception | Evidence to request | Release decision |
|---|---|---|
| Wrong or missing heat/lot link | Corrected traceable record and package mark | Hold affected line until authorized resolution |
| Superseded PO revision | Accepted amendment and matching shipment packet | Use the approved final version |
| Quantity or package count differs | Corrected line and count explanation | Record the agreed disposition |
Send One Checkable Pre-Dispatch Request
Send the accepted PO revision and per-line specification, the required inspection-document type, heat or lot and marking requirements, a packing-list layout, any agreed label-photo request, and the destination and named delivery rule. Add the commercial papers actually required for the transaction, the deadline for review and a contact who can decide discrepancies. Ask for an order-specific response showing what can be provided, by whom and at what stage. Do not assume fixed turnaround or a universal pre-shipment photo service. Keep the final accepted packet for the warehouse so receipt checks use the same material and document identity.

Frequently Asked Questions
No. Match the record's material and heat or lot identity to the accepted PO line, packing-list row and actual package mark. A correct-looking result without that link leaves the shipment identity unresolved.
No universal document set applies. State the destination and contractual requirement, then confirm whether and how the required origin document can be provided for the actual order.
No. They may support a defined identity check, but a physical inspection or witness point needs its own agreed scope, timing and responsible party.
Identify the affected package and PO line, request a corrected traceable record or an authorized deviation, and keep the discrepancy open until the named approval owner decides release.
